Invitations
An invitation goes to one named email address, works once, and expires. There is no code or QR to hand round, so nothing in the world is a key to your organisation.
What happens after you send one
What the person does next depends on whether they already have an account.
- Somebody who already has an account can accept on the cloud screen in Mapit GIS, or by opening the link. There is no approval step afterwards, because you already chose them by name.
- Somebody with no account yet opens the link, and it creates their account, whatever role you invited them as. A viewer needs nothing more. Anybody invited to collect then signs in to Mapit GIS with the same address, and needs the app with a Pro subscription (Pro+ for a manager) to work in the field.
An invitation lasts 7 days. You can resend it, which re-sends the same link rather than replacing it, or withdraw it, which stops the link working straight away.
Why an invitation can be refused
An invitation that would take you past the capacity you have bought is refused, with an offer to buy more. It never quietly increases your bill.
Outstanding invitations count against your capacity while they are open. Otherwise you could invite five people into three seats and only find out as each one accepted. Seats, viewer places and storage explains the two pools.
You will also be stopped from inviting somebody who is already in the team, and there is a daily limit on how many invitations one organisation can send. If you are onboarding a larger team than that allows, get in touch rather than working around it.
Choosing the role
The role goes on the invitation, so decide it before you send. It is not permanent: you can change somebody’s role on the roster afterwards, and moving between the roles that use a paid seat costs nothing and converts nothing. What each role can do.
